Meter readings
Collecting meter readings: email, SNMP and manual readings
There are three ways to obtain meter readings: the printer sends them by email, you query it over the network through SNMP, or someone reads the display and enters the value. The methods differ in accuracy, effort and automation. Often, the right setup combines an automatic source with manual readings as a fallback. This guide explains when each method makes sense.

Key takeaways
- Three sources: printer emails, SNMP network queries and manual readings.
- Email and SNMP can be automated; manual readings are error-prone and do not scale.
- SNMP offers the broadest coverage but requires network access to the printer.
- In practice, use an automatic primary source and manual readings as a fallback.
Email-based readings
Many printers, particularly Ricoh models, can be configured to email meter readings periodically. The provider does not need access to the local network: the printer reports directly. PrinterMS automatically assigns the incoming email to the correct printer and contract, extracts the reading and calculates charges. The limitation is setup: the printer must be configured to send reports, and support varies between brands.

SNMP network queries
SNMP (Simple Network Management Protocol) is a standard way to query network devices. A DCA queries printers on the local network and retrieves readings, toner levels and status. This offers broad coverage across brands and live data rather than only monthly reports.
The printer must be reachable on the network, and the agent must run on a server, small computer or Raspberry Pi. Collection can then be fully automatic. Read more about the PrinterMS multi-brand SNMP agent in the DCA glossary entry.
Manual readings
The oldest method is to visit or call the customer, read the counter on the display and enter it into a spreadsheet or system. This can work for a few printers. With hundreds, mistyped numbers, missed printers and late submissions become common sources of errors. It is useful as a fallback, but does not scale as the main method. Aim to make manual readings the exception.
Which should you choose?
Usually, a combination. Use email or SNMP as the automatic primary source, with manual readings for the few printers that fail to report. Most readings can then arrive without intervention, leaving only exceptions to investigate. PrinterMS handles all three sources and flags missing expected readings before you issue an incorrect or incomplete invoice.
