The calculation is simple and transparent. It calculates the rate per page from toner cost per page and your chosen markup, separately for black-and-white and color because their costs differ. It derives the monthly fee from the printer’s purchase price and the term over which you want to recover that cost, with the same markup applied. Estimated monthly revenue is the monthly fee plus both page rates multiplied by their expected volumes. Profit is that revenue minus the modelled costs.

Toner cost is only the starting point. A sustainable page rate or monthly fee also needs to cover wear parts such as drums, fusers and maintenance kits, service labour and call-outs, recovery of the printer’s purchase cost, and risk. If you price only for toner, service costs will eat into your profit over time. The calculator’s markup field provides this allowance: set it high enough to cover your costs beyond toner.
